Privacy Policy

Bishopbend Insurance Services (“we”, “us”, “our”) respects your privacy. This policy explains what we collect, why we collect it, how long we keep it, and how we use it.
Information We Collect
When you submit our quote or contact form, we collect the information you provide: name, email, phone number, the type of coverage you are asking about, and any details you share about your situation. Submissions are stored in our database and a copy is emailed to info@bishopbend.com via Resend (our transactional-email provider). If you email us directly, we retain the email and its contents.
Commercial insurance applications. If you create a client-portal account and complete one of our detailed commercial quote forms, we collect the information an insurance carrier needs to underwrite the risk. Depending on the coverage, that can include nonpublic personal financial information: a federal employer ID number (FEIN) or Social Security number, date of birth, owner Social Security numbers on workers’ compensation applications, and driver names, dates of birth and driver’s licence numbers on commercial auto applications, along with business, property, vehicle and payroll details.
This information is stored in our database and transferred to our agency management system (HawkSoft) so we can quote and service your policy. Our staff receive an immediate notification when an application arrives; Social Security numbers, tax IDs, dates of birth and licence numbers are shortened to their last four digits in that notification, and the complete application is retrieved from our secured admin system by the staff member handling it.
Our website also collects aggregate analytics — page views, device type, referrer, country (derived from IP at request time), approximate time-on-page, and Core Web Vitals timing. See “Analytics” below for details on the specific services. We do not sell or rent personal information.
How We Use It
- To respond to your quote or contact request.
- To shop carriers, send quotes, and communicate about your coverage.
- To service active policies (renewals, endorsements, claims).
- To improve our website and customer service.
- To comply with legal and regulatory obligations.
How Long We Keep It
We keep contact-form submissions for up to 24 months after your last contact with us, after which they may be archived or deleted. Records related to active or past insurance policies — applications, quotes, binders, and policy correspondence — are retained for the longer of seven years or the period required by carrier, tax, regulatory, or statute-of-limitations obligations. Aggregate analytics data (non-personal) may be retained indefinitely. You can ask us to delete your information at any time — see “Your Choices” below.
Analytics
We use the following analytics services on this website. None of them sell your data, and none are used for advertising or cross-site tracking:
- Umami Cloud — aggregate page views and referrer. Umami is cookieless by default; it does not store identifiers in your browser.
- Vercel Analytics and Vercel Speed Insights — aggregate visit counts and Core Web Vitals (page-load timing). Vercel reports we receive contain no personal information.
- First-party analytics — page views, conversion events (phone-call clicks, contact-form submissions), and Core Web Vitals are also recorded in our own database to help us understand which pages convert. These records are tied to a short-lived per-browser session ID, never to your identity.
Cookies, Captcha & Embeds
Our public site uses no advertising or tracking cookies. The only cookies and storage tokens you may encounter:
- Cloudflare Turnstile — our contact form, quote request form, admin login, and client-portal sign-up and sign-in use Turnstile to verify submissions come from real visitors. Turnstile may set a short-lived cookie or local-storage token for this purpose.
- Google Maps embed — the service-area map on our About Us page comes from Google Maps and loads only after you click “View Interactive Map.” Until you click, nothing on our site contacts Google. Once loaded, the map iframe may set Google cookies and collect technical data (IP address, browser type) under Google’s privacy policy. If you’d rather not share anything with Google, simply don’t load the map — everything else on the page works without it.
- Admin session — if you sign in to the admin area at /admin, an encrypted session cookie is set. This cookie is never set on public visitors.
- Client-portal session — if you create an account at /portal, an encrypted session cookie is set once you sign in. If you turn on two-step verification, we store the secret for your authenticator app in encrypted form. This cookie is never set on public visitors.
Sharing
We do not sell or rent your personal information. We share it only with service providers who help us operate the site:
- Resend — delivers notification emails to our team, including quote and contact submissions and, for commercial applications, the reviewed application file our staff import into our agency management system.
- Anthropic — when our staff upload a policy declarations page to save re-typing it, the document is processed by Anthropic’s Claude AI to read the fields off it. A member of our team reviews and confirms every extracted field before it is used. This applies only to documents our staff upload on your behalf.
- Cloudflare — provides Turnstile bot protection.
- Vercel — hosts the website and runs the analytics services described above.
- Supabase — provides the database where contact-form submissions and admin records are stored.
These providers process information only as needed to fulfill the service we’ve hired them to perform.
Your Choices
You can email us at info@bishopbend.com at any time to request a copy of the information we have about you, or to ask us to delete it. We aim to respond to access and deletion requests within 30 days.
